For web-centric companies like HootSuite, last Thursday was a worst-case scenario. With major service interruptions to Amazon Web Services, HootSuite was down for approximately 15 hours until our engineers restored service.

In general, we enjoy stellar performance with minimal outages on either HootSuite or Owly (our URL shortener) and now service over 3 million social networks sending over a million updates per day with almost zero downtime. We also have held strong during very active posting periods including the Japanese earthquake.

We know how important up-time is for you and truly appreciate the kind words from our users who missed using HootSuite. Further, many of you rely on HootSuite for your business and we take your trust seriously. As such, we’re taking all steps to prevent future mishaps.

Finding Signal in the Noise of Social Media ~ As Seen at TalentZoo

It’s a well known fact that wise owls always endeavor to share their knowledge with the rest of the parliament. Recently, two of the owls at HootSuite HQ put their heads together to write an article for Talent Zoo. The goal –  to help others with handy tips for weeding through the tangle of voices on the social web.

The article, “Finding Signal in the Noise of Social Media” was published on Talent Zoo last week. We hope the tactics we provided will jumpstart the social efforts of everyone that reads it.

Start By Listening

For most businesses — particularly small businesses — finding and connecting with an audience is the key to success. But how can you sort through the noise to find a specific, local audience? Read on…

Find Audience with Twitter Search

 

Let’s use the example of a yoga studio in Portland, Oregon seeking new customers. Using HootSuite follow these simple steps:

  • Set up a search stream for  ”portland yoga” to capture all Tweets with these words.
  • Follow the people discussing yoga and add them to a Twitter list.
  • Reply to their updates with advice, opinions and tips (but try to avoid giving them a sales pitch).

Doing this will build awareness as people see your thoughtful remarks and click through to your profile (through a branded profile icon) to learn more about your yoga studio.

Do You Know Geo?

Once you have the basics down, you can tap into emerging technologies like geo-located search and check-in games like Foursquare. These tools make location-based searching fun and even more valuable.

For example, you can filter down search results to include only local updates from users who include geo-info to find people who are literally in your neighborhood. Additionally, you can offer special perks to potential customers playing geo-location games using HootSuite mobile tools on iPhone or Blackberry.

Outreach to Influencers

Identifying followers and influential candidates is a great way to help amplify your message. So reach out and say hi!

Help your Audience with suggestions and tips

As a business with a Pro plan you can identify key candidates by clicking on profiles and noting their “Klout” score, which is a measurement of influence and reach. Additionally, see how often they discuss yoga with their audience. Do they have a yoga blog? Great. Do they seem to be followed by many other yoga fans? Awesome.

Be sure to follow up with them on their experience with you, and encourage them to tell their audience via Twitter, Facebook and other social networks that they’re using.

Amplify by Sharing

We recommend you use Re-Tweets and hashtags on Twitter too.

Bonus: Facebook Pages Update

As an added bonus in this release, we’ve tuned-up the way HootSuite works with Facebook Pages. Now you can delete posts and comments from Facebook Pages you own right from the dashboard – but first you’ll need to re-authenticate your Facebook Pages.

When you attempt to delete a comment from Facebook Pages, you’ll be presented with a re-import popup. Simply follow the instructions to re-add each of your Facebook Pages and then enjoy the new tools. Not the owner of the Facebook Pages? Not to worry. You can send a message to the account owner to request the re-authentication.

Batch Scheduling and Feature Trials ~ HootSuite Release with Something for Everyone

Today, we’ve got a bevy of new treats that should make all HootSuite fans very happy. With a hat tip to the Hootfans that vote and post feature suggestions on our feedback channel, we’re pleased to provide a new round of features for your HootSuite dashboard.

Upload and Schedule More

First off is batch scheduling of social updates. This allows you to pre-create a batch of up to 50 updates in a text file or spreadsheet. Include the text, link and delivery times, then upload the plan and let HootSuite process your requests.

This new method of message scheduling is especially powerful for agencies and marketing departments managing complex campaigns. Now you can schedule your key messages and move on to the next step of your plan.

This feature is included in the Pro plan and was a popular topic in the feature request channel.

Fresh new Refresh

Another one of the of the most most requested features is now included in the dashboard. Now, when you are active in a stream, your timeline of messages won’t bounce up upon refresh. Instead, you’ll stay in place in the stream and see a visual indicator when new Tweets are available. No more losing your place in the stream when messages refresh!

If you are not active in a stream, the messages will refresh as usual. Keep in mind you can also change the refresh rate to suit your preferences – just click the pull down menu at the top left corner of the tabs to select an interval time or set to manual refresh.

Next up are 7 day trials of each of the Pro features allowing you to test each new Pro tool on an ad hoc basis. These include: Facebook Insights, Google Analytics, Klout filtering, URL parameters, and more – including the new batch upload tool.

Social Media Profile Ownership ~ Best Practices and Tips

Account OwnershipMany managers at both growing or established companies struggle to find the time and  resources to manage multiple social media profiles. In many cases, an intern or junior employee is assigned the task of getting social networks set up plus tend to posting the messages on behalf of the organization.

Now imagine that the intern decides to take off to Australia to go backpacking for six months — or worse — leaves under less than ideal circumstances. Now what? How do you regain control of your online profile? Getting access back from social networks like Twitter or Facebook can be a support conundrum taking months to resolve – and by that time it could be too late to repair the damage.

Social network profiles are quickly becoming one of the most important parts of your brand and your internal IP. That’s why HootSuite has created “Teams” allowing one account owner to assign tasks and various levels of access while protecting passwords and control.

So… What is Account Ownership?

Lets face it, when you’re dealing with people mistakes can happen. But with HootSuite you retain ultimate control of your account so that if it is compromised you can act quickly, removing users and deleting posts to minimize damage.

If you “own” a social profile in HootSuite, it means that you have the final say over all of the administration. As an account owner, you – and you alone – get to decide what happens with your social media accounts, including who gets to help manage them, and what level of access each team member is granted.

How to Add or Delete a Team Member

Because HootSuite is built as a collaborative social media dashboard, both Pro and Enterprise plans have the option to both add and remove team members, as well as maintain control over what level of access team members have. This means you can assemble a team to write status updates on behalf of your organization without revealing any account passwords. Inversely, account ownership also means you can revoke social media account access to a team member when they move on or change roles.

For most agencies or big businesses, it is necessary to have a number of contributors to your accounts. For example: junior employees monitor comments and mentions, marketers publish messages, contractors measure analytics, project managers delegate tasks and contribute messaging…  and so on.

Indeed, all of these people need access, but not necessarily the same level of permission. As an account owner, you can control who has access to what.

Team Levels

With the HootSuite Pro and Enterprise plans, each team has three levels of users:

Account owner

A social media profile can only have one owner. This class of user has ultimate administrative privileges, including transferring ownership when/if needed. An account owner can invite team members as well as revoke access to anybody. The account owner also decides what level of access team members have – as either advanced or basic members.

A social media account can have multiple advanced team members. These team members have nearly full access to the management of the account, including some administrative privileges. Advanced team members can invite other team members, or revoke access. They cannot, however, revoke an account owner’s access to a social media account, nor can they transfer ownership or change passwords. The advantage of the Advanced team member is that it allows others to manage your day-to-day social network needs without having total control over the accounts.

Basic team member

A social media account can also have multiple basic team members. This class of user simply has the ability to monitor social media streams and submit status updates. They have no administrative privileges nor can they invite other team members to social profile, revoke access, nor transfer ownership. This is perfect for outside contractors, interns, or team members that only need to post to one of your networks – but not all.

Account Management Best Practices

Account ownership is an important role, so to help you achieve the best management of your social media networks, we’ve put together these guidelines to keep you on track:

Ensure the Owner is in a position of authority

AuthoritySome companies entrust their social media accounts to interns or agencies, which can make transfer of ownership tricky should there be a changeover of staff or agency accounts. Rather than setting up key external, or temporary contributors as owners, it would be better for these interns or agencies to be brought on as Advanced Members. This will ensure that any change of staff, agency, or level of authority is controlled by someone trustworthy in your organization, and will keep your account secure.

Never share your passwords

If someone else knows your social media passwords, they can step in and take control away from you, potentially causing a very damaging scenario for your brand. HootSuite’s security allows you to add team members without sharing passwords. Also, by utilizing tools like LastPass, you can provide access to your HootSuite account without compromising the security of your individual social media accounts.

Delegate responsibility

If other commitments prevent you from actively managing your team, transform a basic team member into an advanced team member. An advanced team member can have the administrative capabilities of an account owner without knowing any social media passwords. The advanced team member can then manage the account for you, adding and removing team members as needed, but you still retain control over the security of the account.

Register your HootSuite account with a corporate email address

Sometimes employees create a HootSuite account with a personal Gmail or Yahoo Mail address. This can get messy if they have multiple personal email addresses and cannot remember which address is associated with their HootSuite account. Ensure that whoever owns the HootSuite account registers with a corporate email address so there is no confusion. Getting email information back from social media networks can be a very lengthy process, if they provide that information at all.

Ensure accountability

As we’ve shown here, social media is like a dance with a lot of different dancers, and sometimes there are missteps. Keep yourself in the starring role — ensure everyone on your team is accountable for what they do. HootSuite makes accountability a breeze through our team assignment and auto-initial features.  These enable you to delegate tasks to others and follow up on assignments. Auto-Initial automatically pre-populates status updates with the initials of the team member publishing the post.

One of the most powerful tools within HootSuite is the ability to create teams of contributors for your social media channels. Once you’ve added someone to your team, you can assign messages for follow-up, securely share search columns, utilize draft messages, and manage any amount of social networks.

In short, your HootSuite account is scalable, and the more you need to do, the more people you can bring on board to efficiently manage your networks. This is particularly useful for large in-house groups as well as agencies and consultants working with multiple clients.

Three’s a Charm

HootSuite Team Members come in three levels:

First, there’s an account owner of which there is only one for each social network account within HootSuite. The owner has full control over administrative privileges on the account.

Next on the list are advanced team members who can be brought on to post to profiles, invite additional team members and do some simple account management tasks.

And lastly are the basic team members who can simply post to the networks, utilize draft messages and share the search columns.

All levels of team members can assign messages to their team colleagues for follow-up.  Also, different team members can be assigned to specific social networks; this is particularly handy for organizing groups around campaigns, projects, clients, or most any other scenario you can imagine.

Talking bout Teams

Since announcing the new premium plans which allow team members, we’ve listened to your feedback and questions. In particular, we’ve heard inquiries from agencies and consultants about setting up accounts for their clients to make sense from a billing stand-point. In other words, “Who pays – the agency or the client?”

With this in mind we’ve put together the following scenarios to illustrate the possibilities for team building within the premium HootSuite accounts. Take a look to see which is best suited to how you manage your social media campaigns and manage invoicing the associated costs.

Scenario 1 — Clients as Owners

Our first example is for those consultants or agencies that work with clients on short-term contracts or campaign-specific projects.In this scenario, the consultant or agency helps their client set up their own HootSuite Pro account (starting at $5.99 per month).

HootSuite Pro accounts include 1 team member which can be used to add the agency rep or consultant. This ensures that client retains ultimate control and ownership over all their social profiles and handles the payment of the account directly.

Since the agency or consultant is simply a team member, this doesn’t count against the maximum allotted accounts with the basic account. Plus the client is in control of their own social media accounts, so after the project or campaign is complete is completed, no transfer of ownership is necessary.

Scenario 2 — Hold Your Own

HootSuite Teams In another scenario, it might be more convenient for clients if the agency or consultant takes ownership over the social media account as part of your overall project deliverable.

To make this happen, the agency or consultant sets up individual HootSuite Pro accounts for each client and adds the cost to the monthly invoice cycle. This may also be more convenient for the client’s budget management to have all campaign costs streaming through the agency.
